Episode 4 - Plaud: The AI Tool We Can't Live Without

One of our favorite AI tools is the Plaud Note. It is a pocket-sized AI voice recorder that instantly turns your conversations, meetings, and notes into accurate transcripts and summaries. It’s the easiest way for business owners and teams to capture ideas and stay organized on the go.

We recently filmed a podcast episode about Plaud and how to use it. To display its abilities, we recorded the episode on Plaud and received an instant summary from it. We have attached it below:

Device Overview: Plod Recording Device

  • Designed to replace traditional paper notebooks and native phone recorders, remembering everything and outperforming native phone apps.

  • Compact and portable (about the size of a credit card), it clips magnetically to the back of any phone.

  • Simple operation: press and hold the button for about one second to start recording.

Key Features of the Recording Device

  • Durable battery for continuous use.

  • Instant transcription and summarization after recordings.

  • Users can select different AI models and summary templates based on context (e.g., legal, construction punch list, lecture, job interview, call note, reasoning autopilot), with an “infinity number” of templates available.

  • Option to re-summarize recordings with alternative templates if the initial summary is not satisfactory.

  • Enhanced transcription customizable for specific industries (e.g., real estate), improving recognition of industry-specific terms and nomenclature.

Pricing and Subscription Models

  • Initial base price when acquired by speakers: $139; current price: $159.

  • Subscription options:

    • Basic plan: 300 minutes per month.

    • Upgraded plan: $239 per year for unlimited minutes, chosen by one speaker due to high usage.

Device Usability and Practical Applications

  • Performs well in environments with background noise, significantly outperforming standard smartphone recorders which struggle with noise and transcription accuracy.

  • Delivers high-quality transcription in challenging settings (e.g., job sites) and can record phone conversations directly from the handset.

  • Users are advised to announce that they are recording conversations.

  • Use cases across various fields:

    • Sales calls: considered a “game changer” for sales, enabling immediate CRM uploads and more accurate note-taking than manual methods.

    • Meetings and SOP documentation: essential for setting up Standard Operating Procedures, as the device’s AI (e.g., autopilot template) can sort comments into categories, allowing SOPs to be drafted quickly after discussions.

    • Field work and construction: ideal for contractors to conduct walkthroughs and create punch lists with instant summaries.

    • Academic settings: records lectures or sermons, providing summarized notes for later review and study.

    • Personal use: records doctor appointments for accurate detail capture, ensuring no information about medication or therapy is missed.

    • Real estate: documents property discussions and client preferences, allowing users to dump recorded conversations into AI tools like ChatGPT to build client profiles and track conversations.

    • Journaling and complex problem-solving: allows users to capture thoughts seven times faster than writing and three times faster than typing, preventing loss of thought and enabling searchability of entire transcripts.

Integration with Business Processes and Software

  • Recordings can be merged into a single recording for flexible workflows.

  • Upcoming native integration with OneDrive and Google Drive, and a variety of other apps, is expected around 2025 to allow direct saving to folders.

  • Automate saving of recordings via Zapier; custom workflows can organize recordings by labels, automatically dumping them into designated folders.

  • Speaker naming is supported for efficient transcript searching and improved meeting review organization; the device learns to recognize frequent speakers but new participants need manual naming.

Adoption and Usage Feedback

  • Users (Terry, Mitch, Brad) report high dependency on the device:

    • Mitch described feeling “naked” without it and literally returning home from the office to retrieve it, highlighting its importance.

    • The device provides significantly more accurate transcriptions compared to native iPhone recordings, which often have more mistakes.

    • Recordings stored on the device have reached impressive totals, with one speaker having over 300 hours of recordings, including an accidental 24-hour recording when it was left on.

  • Noted limitation: compatibility issues with Bluetooth AirPods during phone calls, requiring the phone to be used directly or on speaker.

  • The device is praised for capturing complete discussions and enabling seamless post-meeting review, proving especially valuable in sales and process documentation.

Enhancement and Future Outlook

  • Ongoing updates include a continuously expanding library of summary templates, which has grown tenfold since initial use, and the ability for users to create custom templates.

  • Future plans include auto-upload to cloud storage to further streamline workflows.

  • Recorded data can be used to map comprehensive business processes, such as:

    • Transforming complex employee workflows into visual maps (e.g., with Lucidchart) by having employees speak freely about their processes, which is less intimidating than traditional documentation.

    • Incentivizing key employees to document tasks to safeguard operational knowledge, especially for critical roles where expertise is concentrated.

  • Anticipated features include real-time collaboration, allowing users to interact with recordings during meetings, as hoped by one speaker for future device updates to enhance meeting dynamics.

Industry-Specific Applications

  • Sales: detailed call records and transcripts support follow-up and client profiling, making it a “party trick” to impress others with detailed notes.

  • Project documentation: electrical, HVAC, plumbing, and construction sectors can use detailed recordings to capture expert knowledge from technicians, closing process gaps and boosting efficiency.

  • Education: lectures and seminars can be converted into searchable, organized notes for improved study and review.

Next Steps

  • Evaluate purchasing options via WeeksAhead.ai or Amazon.

  • Test and review summary templates to identify best fit for different meeting types.

  • Monitor updates on OneDrive/Google Drive integration and plan future workflows.

  • Explore third-party solutions or upcoming product versions to address Bluetooth AirPods compatibility.

  • Launch a pilot project to document business processes using the device, for later integration with visualization tools like Lucidchart.

  • Consider employee incentives to encourage process documentation and knowledge capture.

  • Experiment with enhanced transcription for improved industry-specific terminology accuracy
